Reed Learning Limited (“Reed”, “us”, “we”) is a specialist training provider delivering services in the following areas: Human Resources, Learning & Development, Leadership and Management programmes and qualifications, soft-skills training, HR Consultancy, Corporate training, managed training services and learning consultancy. Reed also promotes products and services of other companies in the Reed Group. 
 
If we engage with you as a course provider and you provide us with personal data, we will process such personal data on the basis that it is necessary to do so in order to perform the contract you enter into with us.  

What we do:

To ensure that you are informed about how we operate, we have developed this privacy notice, which details how we collect, manage, process, store and share information about you as a result of you visiting this site, enquiring about our programmes , or a programme or service delivered by another company in the Reed Group, enrolling on one of our qualifications, booking, attending or delivering one of our workshops or webinars, or engaging us to provide consultancy services or a managed training service. The privacy notice also provides you with information about how you can have control over the use of your data. Our legitimate interests include (but are not limited to) the following: the measures we take in order to ensure the security and integrity of the services we provide; promoting, marketing and advertising of our products and services; analysis of our users’ behaviour, activities, preferences and requirements; understanding of existing products and services and the development of new products and services; the handling of customer contacts, queries and complaints; making available our services through the website to our users and the sharing of personal data with our third party suppliers (e.g. communication providers) who act as our data processors to enable us to provide our services. Where you only make an enquiry into a product available through the website, we will only process your personal data as required on the enquiry form.

If we have entered into a contract with you to provide our services, we process your personal data in order to meet our contractual obligations. These contractual obligations include (but are not limited to) the administering of our relationship with you, the provision of the services set out in the contract, to respond to your queries, to ensure the correct invoicing and obtain payment, to register your qualification with the awarding body (CIPD, CMI) and provide evidence of completion of course modules, to provide feedback on your progress to your employer where your employer is the fee payer and to provide access to our online learning portal. 

Consent: 

On some occasions, we may process your personal data with your consent. When your consent is required, we will clearly indicate this (e.g. when you provide consent for your data to be shared with another company in the Reed Group to explore their services or to provide you with our marketing material.). You have the right to withdraw your consent at any time. When you do so, we will cease to process such data. 

The processing is required under legal obligation: 

We may process your personal data to comply with a legal or regulatory obligation e.g. detecting, preventing or investigating crime or fraud including working with law enforcement agencies. 

What Information do we collect about you? 

The personal information we collect about you may include the following: 

  • Information to enable us to provide our services e.g. your date of birth and location and financial information, 

  • General identification and contact information e.g. your name, IP address, residential address, work address, email address and telephone details, 

  • Marketing preferences, 

  • Statistical information e.g. aggregate statistical information about site visits, 

We collect the personal data about you when you register with us. We do so in order to provide you with our services or, with your consent, to refer you to another company in the Reed Group who may assist you. 
 
If you choose to take any assessments, we will also maintain a record of your responses to and results of those assessments. 

What do we do with your personal data? 

We will use your personal data to supply you with our services, to manage your account, to facilitate payment for the services you subscribe to, to put you in touch with third parties if required or requested, to contact you to provide feedback on our services and to provide you with information about our services as well as ancillary services available through the website. 
 
Qualifications

We will share your personal data with the relevant Awarding Bodies (e.g. CIPD, CMI) as a requirement in order to register you and to process your qualification. 

Apprenticeships 

For our apprenticeship learners we are required to collect additional, special category data and share it with Ofsted and the ESFA in order to meet our regulatory obligations. This data includes: 

  • National Insurance number 

  • UK Residency eligibility 

  • Emergency contact details 

  • Criminal convictions  

  • Learning difficulties/disabilities 

  • Details of previous funded learning 

  • ID identification

Marketing 

From time to time, we would like to tell you more about the other goods and services we offer. We will do this by sending you marketing emails where we have the right to do so.  We will only provide you with marketing material when we have your consent to do so. If you change your mind at any time you have the the opportunity to opt out by clicking on the "unsubscribe" link within the marketing emails. We will also only market the products and services of other companies in the Reed Group to you with your express consent. 

Reviews 

We may also contact you via email, or during a live session, to invite you to review any services and/or products you received from us in order to collect your feedback and improve our services and products (the "Purpose"). We use an external company, Coursecheck Ltd ("Coursecheck"), to collect your feedback. We do not share any personal data with Coursecheck but you will be asked to provide your name and email address in order to provide feedback. We may share your personal data with third party service providers who assist us in carrying out our business activities. These third parties act as our data processors and are bound by strict contractual provisions to only process your personal data under our instructions and for the limited purposes we permit them. These third parties include (but are not limited to) our accountants; auditors; external legal advisors; external IT providers; support and hosting service providers; printing, advertising, marketing and market research and analysis service providers, technical engineers, data storage and cloud providers and all other outsourced service providers (such as communication providers) that assist us in the provision of our services. 
 
We may also share your personal data with courts, tribunals, regulators and other governmental and public authorities (such as the police or tax authorities) to: (i) allow us to pursue legal remedies, (ii) to enforce our terms and conditions and protect our operations, (iii) to comply with legal process, (iv) to comply with applicable law, and (v) to respond to requests from public and governmental bodies. 

We will also share your personal data with Accreditation providers and your employer in the event that your employer paid for your course.

You have the right to ask us for a copy of any personal data that we hold about you. This is known as a Subject Access Request. To make a Subject Access Request, please write to DPO@reedlearning.com. 

Right To Rectification

If any of the information that we hold about you is inaccurate, you can write to us at DPO@reedlearning.com. 

Right To Be Forgotten 

You can ask that we erase all personal information that we hold about you. Where it is appropriate that we comply, your request will be fully actioned within 30 days. 

Right To Object 

You have the right to ask us to stop sending you marketing communications. You can do so by clicking the unsubscribe link in the email or by writing to us at DPO@reedlearning.com. 

How Long Will We Retain Information For? 

We will typically retain information for a period of seven years. This is due to regulatory and audit requirements. 

Overseas Transfers 

None of the information that we collect, process or store is transferred outside of the UK and the European Economic Area (EEA).
